Office Manager

This is a Full-time position (M-F from 8am-5pm) with occasional overtime as needed.

Dayspring Restoration is a family-owned, disaster restoration and cleaning company servicing the entire state of Montana for over 25 years. Our seven locations in Bozeman, Butte, Helena, Hamilton, Great Falls, Kalispell and Missoula make us the largest, locally owned restoration company in the state! Responsibilities include, but are not limited to:

  • Provide a high-level of external customer service

  • Invoice customers and collect customer payments

  • Maintain customer account information in job management system and job files

  • Initiate follow up calls to customers

  • Assist co-workers with various needs

  • Assist with scheduling; updated with changes (job times, client notes, change orders, employee call outs, etc.)

  • Update On-Call Rotation form

  • Provide back-up call support for customer intake team

  • Accounts payable review and coding

  • Execute Lien process

  • Purchase order administration

  • Timecard gathering, review and submittal (daily and weekly)

  • Office equipment maintenance-wiping screens, filling with paper, etc.

  • Assist with office and shop supply ordering and restocking

  • Disinfect and clean restrooms and common areas

  • Timely and accurately mail post cards and notices

  • Human Resources (assist HR and accounting with onboarding, benefit administration, WC administration, etc.)

  • Employee travel support (per diem Processing and hotel arrangements as needed)

  • IT support (preferred but not required)

Knowledge, Skills, and Abilities:

  • Associate degree in accounting (preferred) or demonstrated accounting experience equivalent of 3+ years

  • Fast, accurate data entry skills

  • Demonstrates high level of external and internal customer service experience

  • Demonstrates professional spoken and written communications

  • Demonstrates active listening, empathy, problem-solving and communication.

  • Dependable, reliable, and responsive

  • Strong knowledge of Microsoft Office Suite products, in particular Excel

  • Familiarity with various CRM’s and computer technology

  • Demonstrates ability to proactively and re-actively schedule

  • Demonstrates ability to complete a multitude of tasks with minimal supervision

  • Demonstrates organizational skills
