FERGUS COUNTY ROAD & BRIDGE DEPT. Fairgrounds Events & Office Assistant in LEWISTOWN, Montana

Full time, permanent, year-round position

WAGE: Starting wage is $18-21/hr depending on experience, with county benefits included.

DUTIES:

The Facilities and Events in the Fairgrounds Office performs a variety of administrative, clerical, technical, and physical support to the programs, events, and services of the Fergus County Fairgrounds; may require assisting the Facilities and Events Manager with maintenance of the facilities and meeting the needs of events at the Fairgrounds. This is a full-time, permanent, non-exempt position, normally working 8 hours per day, Monday through Friday but will require some weekends and longer shifts, as staffing and events require.

  1. Cashiering, sales, bookkeeping, accounts payable and receivable, following cash management controls and procedures, reconciliations, filing, developing financial reports, inventory control, sponsorships, and annual budget.

  2. Perform routine clerical and administrative work answering phones, referring messages, receiving the public, providing customer service, entering data and word processing in accordance with standard operational procedures in support of department functions and objectives..

  3. Market the fairgrounds facilities for non-fair event venues. .

  4. Coordinates events, both in-house and contracted. .

  5. Maintain calendars, contracts, and documents pertaining to the office and events.

  6. Scheduling, setup and implementation of special projects and events

  7. Identifies vendor sources and contacts vendors to obtain price and product information.

  8. All elements of production and coordination for the Fair.

  9. Collaborates with the Facilities and Events Manager for event preparation and coordination including rooms, equipment, and personnel.

  10. Performs routine janitorial duties as requested in the Trade Center. May be asked to perform janitorial duties in other facilities

  11. Updating the social media page(s), the marquee, and other publications as necessary

  12. Maintains the security of buildings and grounds, pursuant to Fairgrounds? procedures.

  13. May answer a variety of routine and semi-technical questions related to the organization?s functions, procedures, regulations, and programs of the agency after determining that information may be given. As well as, assist with use of rooms and equipment on the Fairgrounds property.

  14. Performs a variety of other duties which may include ordering supplies, setting up tables and chairs, and any other arrangements required to support successful events.

  15. Provides positive and effective customer service under multiple circumstances and adverse conditions.

  16. Maintains prompt and regular attendance during scheduled work hours. And, is flexible when necessary to accommodate events, projects, and the annual Fair.

  17. Operation of equipment.

KNOWLEDGE, SKILLS AND ABILITIES::

The job requires acquiring the knowledge of the organization, services, programs, and functions of the agency in order to plan evaluate, coordinate and perform clerical support and minor administrative functions; compile, consolidate and summarize information; and answer a variety of information such as work progress, routings application of procedures to specific situations, agendas, status of accounts, location of materials and coordination of clerical support and administrative functions; knowledge of English grammar, spelling, written format and punctuation; and the functions, timetables, workload and priority of the administrative positions served.

The job requires skill in operations of computers and office machines.

The job requires the ability to effectively meet and deal with the public; communicate effectively verbally and in writing; maintain complex filing systems; handle stressful situations; work extra hours as required; compose correspondence from general instructions; collect, compile and analyze qualitative and quantitative data; understand and expl in regulations and policies governing program operations; establish and maintain effective working relationships with management, employees, clients, and the public; understand program objectives in relation to departmental goals and procedures; organize and prioritize work assignments; use and understand common database, spreadsheet and word processing applications; learn specialized computer applications.

The job requires the ability to work independently, prioritize and manage multiple tasks and effectively apply time management skills, problem solve and establish and maintain positive and effective working relationships with diverse populations.

The position must learn to interpret and apply well-defined administrative rules, regulations, and policies to determine how to take care of problems and issues on the spot.

QUALIFICATIONS:

The job requires education and experience equivalent to graduation from high school or GED equivalent. A degree in entertainment and media and/or three years of experience in a related field are recommended but not required.
