Cabinet Peaks Medical Center Administrative Business Partner, Full Time in Libby, Montana

Cabinet Peaks Medical Center is looking for an Administrative Business Partner for our Administration Suite!

This position serves as the Administrative Business Partner to the Chief Executive Officer and the Chief Financial Officer. The Administrative Business Partner will use professional and relationship building skills to provide an anticipatory and high level of administrative and project support. The position anticipates the needs of the Chief Executive Office and Chief Financial Officer and assist them in staying focused on their projects by resolving operational and administrative issues before they arise. The Admin Business Partner also provides additionally reporting support to the Board of Directors.

Major Job Duties & Responsibilities

Works closely to prepare agendas and produce minutes for meetings that the CEO and CFO assign, including but not limited to: Department Manager meetings; Emergency Physician meetings; "All Staff" meetings.

Works closely with the CEO and CFO to prepare agendas, minutes, and documents for Board and Finance Committee meetings. Meeting materials will be prepared, organized, and delivered in a timely manner, as assigned.

Retrieves, organizes, and distributes mail/correspondence for the CEO and CFO.

Assists CEO and CFO with management of meetings and calendars.

Assists CEO and CFO in managing phone calls, messages and interactions with staff, patients and the public.

Proactively develops written materials (i.e., letters of support, response letters, and reports). Address patient complaints and direct to appropriate departments.

Assist with travel plans and travel related payments as needed (Medical Center-wide).

Assists with Medical Center-wide "special event" planning for assigned duties, i.e., Hospital Week, Holiday activities, etc.

Responsible to create and maintain Emergency Physician and Hospitalist schedules.

Assist CEO with management of timesheets for employed physicians and CRNA's each pay period. Receive and maintain applicable API training.

Assist CEO and CFO with tasks such as completion of insurance applications, required Medical Center surveys, maintenance of policies and procedures, etc.

Skills, Knowledge, & Abilities

Exceptional organizational skills, attention to detail, and interpersonal communication abilities.

Advanced skills with Microsoft Excel, Word, PowerPoint required, as well as high level of experience with Zoom, Teams, and other communication methods.

Ability to manage multiple projects simultaneously and be organized under stressful conditions and short deadlines.

Good communication skills including verbal, written and interpersonal.

Ability to communicate effectively with board members, executives, and physicians.

A high level of integrity and confidentiality.

Knowledge of modern office practices including file organization and record-keeping.

Ability to work independently with minimal supervision.

Ability to multitask in a fast-pace growth-oriented company.

Strong desire to embrace new technologies.

Well developed emotional intelligence.

Ability to critically think and act accordingly.

Must be extremely flexible and able to work in an environment that is chaotic at times.

Schedule

General Hours: Monday thru Friday. Day Shift as scheduled by the CEO/CFO. Occasionally will be required to work weekends and/or evening hours as directed.

Educational Requirements

Required: Associate's Degree.

Desired: Bachelor's Degree.

Experience

Minimum of 4 years of administrative support at the Director level or above.
