Wood PLC Receptionist / Administrative Assistant in Malta, Montana

Overview / Responsibilities Wood has an opportunity for a dynamic, friendly Receptionist/Administrative Assistant to support our engineering consulting team in Helena, MT. Key Responsibilities This is a full-time position working Monday through Friday 8:00am to 5:00pm; some overtime may be required Will greet occasional visitors, answer phone and accept deliveries R outine contact with employees, clients, subcontractors and vendors Report and document preparation using Wood standard templates Electronic filing and document management Coordination with Wood financial staff on business operations Support human resource functions at the office level Oversees office-wide ordering/purchasing of supplies, equipment, vending and marketing merchandise Billing reconciliation of purchasing statements and invoices Monthly reconciliation of bank statements and office expenses Scheduling of conferences, meetings and staff training Scheduling travel for office staff Submission of Expense reports for office staff Responsible for office facilities maintenance including contacting/ascertaining contractors and communicating with building management/maintenance Other duties to include mail, shipping, copying, report collat in g, binding and filing Researches and resolves routine administrative and staff functional support issues as they arise Skills / Qualifications 10+ years of experience in an office environment, consulting business experience preferred Excellent phone answering skills and friendly customer service skills Professional demeanor with co-workers, visitors, clients and vendors Excellent verbal, written and interpersonal communications skills Self-starter with excellent organizational skills and attention to detail Demonstrated ability to work in team situations with multiple priority management Detail oriented, proactive individual who takes ownership of their work Proficiency in MS Word, Excel, and Outlook required Flexibility to work outside normal business hours as required Must pass drug test and background check > Company Overview Wood is a global leader in engineering and consultancy across energy and the built environment, helping to unlock solutions to some of the world's most critical challenges.
