    POSITION SUMMARY

    The Operations Manager is a key part of Western Montana Mental Health Centers Children and Family Services team (STATE WIDE) and partners with the management team to address all operational needs. Directly provides technical support to staff and provides administrative fill when needed. Provides day to day physical and fiscal management of the Children and Family Services.

    ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Operations manager assists in scheduling interviews and coordinating with program managers

  • Coordinates and tracks agency-wide CSCT purchases as authorized by the Director

  • Arranges and maintains program staff training including, CPR, CPI, and CEU’s

  • Complies and tracks Quarterly Reports

  • Provides EMR Training to Program managers and new staff

  • Facilitate weekly staff meetings in conjunction with the Program manager

  • Performs various functions and fills in for other administrative positions as needed (front desk reception)

  • Consult and coordinate with other programs (Outpatient Therapist, Med Providers, Community Partners etc) as client’s transition or program needs arise

  • Responsive to client and co-worker needs, including being tactful, respectful and considerate of others

  • regardless of their status

  • Manage difficult customer situations in a professional manner

  • Oversee billing process and ensure administrative aspects of the billing are completed

  • Complete chart audits in conjunction with the Clinical Supervisor

  • Daily functioning of the facility-purchasing supplies (office, food, maintenance, approving purchase of medications, etc. food, monitoring meal plan, & plan implementation)

  • Ensure the physical facility is.in good working order and maintenance is scheduled as needed

  • Observe safety and security procedures and reports any potentially unsafe conditions

  • Ensure Fire Drills are completed and documented as required for licensure

  • Scanning documents into EMR as needed, preparing faxes and sending faxes

  • Responsible for compiling admission information for clients from referral sources, teams, and assuring packets are complete prior to giving to clinical staff for admission. Tracking new admission to the program, informing families of private pay and federal poverty guidelines

  • Perform additional duties that may be assigned by the Director or Clinical Site Manager specific to program needs

    EDUCATION AND EXPERIENCE

  • Bachelor’s Degree in a related field preferred, but not required

  • Experience in similar management role preferred

    MINIMUM QUALIFICATIONS

  • Completion of CPI (Crisis Prevention Intervention), First Aid and CPR training required

  • Ability to pass background check and driver’s license check upon offer of employment

  • Provide proof of auto liability insurance coverage per Western’s policies.

  • Driver license with good driving record if required to transport clients while on work duty
