SUMMARY

All activities related to scheduling and registration of outpatient hospital services as well as clerical operations, with an emphasis on excellent customer service, quality and teamwork. As a Patient Access Representative/ Centralized Scheduler it is important that you demonstrate your understanding of the term “those you serve” to include anyone with whom you make contact as you display positive and tactful behavior. You will complete all tasks on computer, contributing to an accurate, efficient, and pleasant experience for the patient. JOB SPECIFICATIONS

The ability to model and promote a standard of excellent customer service in interacting with patients, visitors, co-workers, clinical professionals and superiors is essential.  Excellent communication (written and verbal), organization and general business skills (multi-line telephone, typing/keyboarding, personal computer, fax, copy, print) are required, along with independent problem solving ability, personal responsibility, teamwork and the ability to manage multiple priorities and tasks concurrently.  The ability to cope well under pressure is important in this position, as the level of activity and demands can change dramatically at times throughout the shift.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned and this job description will be reviewed and updated on an annual basis.

Patient registration – IP, OP, ER, Observation, RCR.  Includes verification of patient demographics, insurance information, etc.

Checking all orders received in Centralized Scheduling.

Collection of deductibles, co-pays, and coinsurance amounts when necessary.

Answer incoming calls, routes call to appropriate areas, takes and delivers message to staff, patient and other areas as needed.

Assist patients, guests, staff and providers with phone calls, directions, etc.

Works with other departments to schedule procedures, obtain insurances preauthorization (if appropriate), refer patient to financial specialists to make payment arrangements.

Studies and standardizes procedure to improve efficiency and assure accuracy.

Implements adjustment and changes in admission and scheduling electronic systems.

Works with PAR/Centralized Scheduling Lead to maintain and expand the scheduling function with the goal of maintaining a centralized point of contact for providers and patients.

Works with Health Information and Patient Billing staff to identify and correct admission errors – patient demographics insurance information, service, etc.

Endeavors to maintain harmony among staff and related departments, assist in the resolution of conflict and grievances.

Other duties as assigned by PAR/Centralized Scheduling Lead or Revenue Cycle Manager.

EDUCATION and/or EXPERIENCE

High school diploma required; related post-graduate training (associate degree, college credits, Vo-tech or business school) preferred; 3 years related experience or combination of education and experience preferred.
