BOYS & GIRLS CLUB Front Desk/Adminstrative Assistant in POLSON, Montana
The Boys and Girls Club is seeking a Full Time Front Desk/Administrative Assistant for their Polson Clubhouse.Primary Function:The role of the Front Desk person is critical to consistent daily operations at the Boys & Girls Club. As one of the first people club members, families, donors, and the community interact with when they walk through the door, this person must be a friendly yet professional, organized yet flexible, problem solver. You will provide clerical and administrative support to the leadership team by assisting with reports, payroll, written and verbal communications, and managing the front desk when members are present.KEY ROLES (Essential Job Responsibilities):1. Performs regular secretarial duties, preparing correspondence and reports as requested by supervisor2. Answers telephones, providing general information, referring callers to other staff or taking messages as necessary3. Maintains electronic and hard copy filing systems and member management tracking system, making sure they are accurate and timely and facilitate easy retrieval of information4. Monitor office supply inventory and notify supervisor when supplies need to be ordered5. May be responsible for managing inventory of office equipment and service contracts, performing routine maintenance activities and contacting service representatives as needed.6. Serves as Club receptionist, greeting all members and visitors and maintaining attendance and visitor logs7. Monitor and log staff attendance and transmit attendance data to payroll8. Perform other related secretarial or administrative duties as requested9. May be asked to transport club members on field trips10. May be tapped to manage site operations for short periods of timeRELATIONSHIPS:Internal: Maintains close, daily contact with Club staff (professional and volunteer) and supervisor to receive/provide information, discuss issues, explain guidelines/instructions, instruct, and advise/counsel.External: Maintains contact with members, families and the general public to give and obtain information, either in response to inquiries or as instructed by supervisorSKILLS/KNOWLEDGE REQUIRED:-High school diploma or equivalent-One year of office clerical experience-Training in secretarial skills and use of common office equipment-Typing/keyboarding skills of at least 50 wpm-Good written and verbal communication skills-Good organization and attention to detail-Strong customer relation skills-Able to maintain strict confidentiality-Ability to motivate youth and manage behavior problems-Mandatory CPR and First Aid Certifications (can be trained if needed)-Valid State Drivers License for 21 and over & meet club insurance requirements (required to drive club vehicles)-Pass a pre-employment drug screen-Pass a background check-Well groomed appearancePHYSICAL REQUIREMENT/WORK ENVIRONMENT-The Boys & Girls Club is a fast pace environment. You must be physically able to engage in games and activities that are children appropriate. You must be able to lift 25lbs.
