BOYS & GIRLS CLUB Administrative Assistant in RONAN, Montana

The Ronan Boys and Girls Club is seeking an Administrative Assistant.Primary Functions: Provide regular clerical and administrative support to the Executive Director & Director of Operations. Prepares reports, assists with payroll, answers telephone, maintains electronic and hard copy files, participates in programming development and reporting. This person assists in administrative components to resource development and maintenance. KEY ROLES (Essential Job Responsibilities):1.Create an environment that facilitates the achievement of Youth Development Outcomes (Academic Success, Good Character and Citizenship and Healthy Lifestyles)-Promote and stimulate program participation-Provide guidance and role modeling to members-Assist with homework assignments and mentor students in reading, spelling, and math-Provide assistance in implementing programs from BGCA (Boys & Girls Club of America) or other organizations2.Performs regular secretarial duties, preparing correspondence and reports as requested by supervisor3.Answers telephones, providing general information, referring callers to other staff or taking messages as necessary4.Maintains electronic and hard copy filing systems, specifically in a Salesforce based software, making sure they are accurate and timely and facilitate easy retrieval of information5.Monitor office supply inventory and notify supervisor when supplies need to be ordered6.May be responsible for managing inventory of office equipment and service contracts, performing routine maintenance activities and contacting service representatives as needed.7.Perform other related secretarial or administrative duties as requested8.Ensure a productive work environment by participating in routine leadership meetings9.Must be available to work Monday ? Friday 9:30 am to 5:30 pm for the summer, 10 am to 6 pm for the schoolyear; this is a .75 FTE positionAdditional Responsibilities:1.May participate in special programs and or events2.May be required to drive Club vanRELATIONSHIPS:Internal: Maintains close, daily contact with Club staff (professional and volunteer) and supervisor to receive/provide information, discuss issues, explain guidelines/instructions; instruct; and advise/counsel.External: Maintains contact with members, families and the general public to give and obtain information, either in response to inquiries or as instructed by supervisorSKILLS/KNOWLEDGE PREFFERED:-High school diploma or equivalent-One year of office clerical experience-Training in secretarial skills and use of common office equipment-Understanding of Microsoft Suite products -Typing/keyboarding skills of at least 50 wpm-Good written and verbal communication skills-Good organization and attention to detail-Strong customer relation skills-Able to maintain strict confidentiality -Mandatory CPR and First Aid Certifications (CAN BE COMPLETED IN THE FIRST 6 MONTHS)-Valid State Drivers License for 21 years and over AND the ability to qualify for Clubs auto insurance coverage-Must be able to pass a pre-employment drug screening-Experience in Canva, Paylocity and/or Salesforce a plusPHYSICAL REQUIREMENT/WORK ENVIRONMENT-The Boys and Girls Club is a fast pace environment. You must be physically able to engage in games and activities that are children appropriate. You must be able to lift 25lbs.
