School Dist #30 Payroll/HR/Accounts Payable Assistant in RONAN, Montana

HR/Payroll/Accounts Payable AssistantAt Ronan School District, we rely on a meticulous financial system to drive our business forward. This position keeps that system running smoothly by assisting in the management of cash flow in payroll, HR, and accounts payable duties. We are searching for a skilled specialist to join our team to help process, track, and record payments in an accurate, efficient, and timely manner. The assistant will have an ongoing impact on financial transactions, keeping us on track, on time, and on good terms with our employees and valued partners.Reports to: Superintendent and District Business ManagerEvaluated by: Business ManagerHours: 8:00 am - 5:00 pm, Monday-FridayObjectives of this roleAssist in supporting the district in optimizing its HR, Payroll and Accounts Payable departments with transactions and system utilizationStrengthen and grow relationships with employees, vendors and suppliers Assist in streamlining and improving the HR, payroll and accounts payable processExercise integrity and confidentiality in financial reportingComply with national and local financial regulationsResponsibilitiesAssist in compiling payroll reports (time & wage) and invoices for appropriate documentation prior to paymentBecome familiar with employee contracts and proper coding/budgetsAssist in distribution of payroll checks on scheduled payroll date and make proper cash transfers through direct deposit and county transfersAssist in preparation of timely payment to all payroll related payees: Flex Plan, Health Insurance, Dental Insurance, Annuities, etc.Assist in preparation of retirement transfers, Teacher Retirement, Public Employee Retirement and online reportingAssist in preparation of retiree insurance check deposits in conjunction with payment to health insurance providerAssist in completing surveys and employment verifications when requestedAssist in preparing tournament packets for each MHSA tournament hosted in the buildingAssist with freight check in when requiredSort mail, answer telephones, greet publicAssist in performing payroll, invoice and general-ledger data entryAssist in executing credit card reconciliationAssist in generating payroll electronic/paper check payments, purchases, and track freight invoicesAssist in paying employees and vendors accurately and timelyAssist Business Manager as neededOther duties as assignedRequired skills and qualificationsHigh school diploma or equivalentUnderstanding of basic principles of finance, accounting, and bookkeepingStrong in time management, detail orientation, and orAble to follow instructions well and make decisionsAbility to work on tight deadlinesProject a positive, approachable, team oriented attitude with fellow employees and vendors, allowing them the confidence to speak openly to you about discrepancies without feeling afraid or embarrassed Ability to maintain confidentiality of company and partner informationAbility to communicate effectively both verbally and in writingStrong mathematical skillsKnowledge of Microsoft Excel spreadsheetsAbility to work independently without supervisionPreferred skills and qualificationsAssociate’s degree or equivalentExperience in HR, payroll, accounts payable (or accounts receivable)Experience with accounting software and online platformsPhysical Demands: While performing the duties of this job, the employee is frequently required to sit; occasionally walk and stand; travel from building to other sites. Specific vision abilities required by this job include close vision, distance vision, depth perception, and the ability to adjust focus. The employee is required to be able to hear conversations in quiet environments. May be required to to lift up to 50 lbs.Mental/Motor Demands:While performing the duties of this job, the employee often performs routine work.
