PELLA LUTHERAN CHURCH Parish Assistant in SIDNEY, Montana

The Parish Assistant will work part time to recruit, schedule and coordinate volunteer ministries within the congregation; recording and keeping financial, membership, and activities information up to date; and assist the pastors in preparing for worship services. The Parish Assistant will also serve as office support staff under the direct supervision of the Senior Pastor. The Parish Assistant is to be cordial and professional in all interactions and wholly supportive of Pella's ministry. The Parish Assistant shall relate well to people, be trustworthy of confidences and privileged information, be able to follow through with details, be conscientious and responsible in keeping office hours, complete assignments promptly, and willing to be available occasionally for extra hours when necessary. The Parish Assistant will be an accurate typist, be able to keep accurate files and records, be able to operate the office equipment, and be proficient and/or willing to be trained in the use of computer software programs. Finance background - write checks from accounts, prepare quarterly and year-end reports. Hours: The hours for this position will be 20 up to 25 hours per week during the normal office hours of Pella Lutheran Church (8:30 a.m. to 12:00 noon and 1:00 p.m. to 4:30 p.m., Monday through Friday). The specific schedule for the 20 hours within the office hours is negotiable. Responsibilities: 1. Become familiar with and be responsible for all aspects of Pella's Ministry Information System (Shepherd Staff), including: a. With volunteers, participate in the counting of the offering each week. b. Enter the counters' report into the Ministry Information System each week. c. Enter all contributions received each week. (envelope , V ANCO) d. Enter all who receive Holy Communion each week. e. Enter the attendance at Pella activities (i.e. Wednesday Community meal). f. Keep all membership information up to date. 2. With the pastors and the Administrative Assistant, ensure that the Parish Register is correct and up to date and that all pastoral acts (baptisms, marriages, funerals, etc.) are entered. Maintain accurate church records in the computer including: baptisms, weddings, deaths, confirmation, communion, church attendance, transfers, and other pastoral acts. 3. Attend the weekly staff meeting. 4. Be primarily responsible for coordinating volunteers for service areas with the congregation including, but not limited to the following: a. Recruit and schedule volunteers for specific individual tasks (Worship assistants), funeral meals, and other special ministry teams, in coordination with pastors. b. Assist committees in recruiting volunteers to serve on a committee and/or for tasks and special projects related to the committee. 5. Serve as a communication link between potential new members and the ministerial staff, overseeing the current new member process in coordination with the ministerial staff (liaison on to Membership and Outreach committee) . 6. Keep current volunteerism files and lists on members. 7. Provide membership information to keep the offering envelope system current and update that information with the offering envelope company. 8. Share certain responsibilities with the Administrative Assistant as follows: a. Answer the telephone and act as a receptionist for the office by greeting and assisting visitors. b. Confer with other staff members and/or council regarding church activities and the scheduling of activities not under sponsorship of Pella Lutheran Church. c. Help schedule appointments for the pastors. d. Open and route all incoming mail. e. In consultation with the pastors and Administrative Assistant, create, assemble, and proof-read the Worship PowerPoint presentations each week, when needed. f. Be familiar with and keep the Pella electronic sign up to date. 9. Become "cross-trained" in order to be proficient in understanding and be able to perform the respo sibilities of the Administrative Assistant when she/he is absent.
