Job Title: Clerical Pool Grade: 4 Department: Human Resources Non Exempt Wage: 13.00 per hour Closing date: 12/18/2024 at 4:00pm - Work Unit Overview: Part-time Position (as needed/available). All county departments must maintain an open and customer service oriented environment, cooperate with other County departments and governmental entities, and keep accurate and timely records and information. - Job Summary: Provides a variety of administrative tasks in support of department needs, including sharing information and giving direction, performing customer service, and supporting special projects. Duties may also include performing clerical functions such as taking meeting minutes/notes, managing filing systems, and responding to information requests. Opportunities to support specific department may be based on an applicant's past work experience. Training will be provided as needed. - Essential Functions (Major Duties or Responsibilities): These duties are the essential functions and are not all-inclusive of all duties that the incumbent performs. - Perform routine clerical and administrative work answering phones, referring messages, receiving the public, providing customer service, entering data and word processing in accordance with standard operational procedures in support of department functions and objectives. - Answer a variety of routine and semi-technical questions related to the organization, functions, and procedures; answer inquiries for complaints that do not need policy interpretation or expertise. Handle requests for information appropriately and use judgment in handling sensitive information by adhering to department rules of confidentiality. - Welcomes visitors by greeting them in a friendly manner, answering or referring inquiries; routes to appropriate personnel if needed. Answer incoming telephone calls, determine the purpose of calls, and forward calls to appropriate personnel or departments. Takes adequate messages when required. - Maintains professionalism by exercising tact, diplomacy and courtesy at all times. Acts as liaison between the public and courthouse departments. - May need to pick up incoming mail from the Post Office and deliver outgoing mail to the Post Office, twice daily; sorts and distributes incoming mail to appropriate departments or personnel. Process outgoing mail; sort, weigh and add correct postage; coordinate the pick-up and delivery of other mail services (FedEx, UPS, etc.). - Non-Essential Functions: - Lend administrative support to County contributions to community projects. - Other duties as assigned. - Physical Demands and Working Conditions: The demands and conditions described here are representative of those the employee must meet to perform the essential functions of the job. - The employee is constantly required to use hands to handle or feel objects and to keyboard. - Frequently required to sit, talk, write, listen and read. - The employee may infrequently be required to stand, walk, climb, balance, stoop, kneel, crouch or crawl and reach with hands and arms. - Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision and depth perception. - The employee is infrequently required to lift and/or move up to 25 pounds. - The noise level of the office is usually moderate. - May involve occasional travel by auto to attend meetings with community partners. - If the employee is assigned to the Sheriff? Department exposure to criminal and danger is a possibility. - Supervision Exercised: List jobs reporting to the subject position and level of supervisory authority. The primary function of this job is not in a supervisory capacity; and incumbent may be asked to exercise supervision over other para-professionals, support staff, contract employees, etc. - Knowledge, Skills, and Abilities: The job requires knowledge of Computers; electronic data processing; modern office practices and proc dures; administrative techniques and principles of organization; accounting; budgeting; techniques and practices of research methodology; and data collection; report writing; application and use of basic statistics; written and oral communications, including language mechanics, syntax and English composition; database, spreadsheet and word processing applications including basic methods of graphic presentations. - The job requires the ability to effectively meet and deal with the public; communicate effectively verbally and in writing; maintain complex filing systems; handle stressful situations; work extra hours as required; compose correspondence from general instructions; establish and maintain effective working relationships with management, employees, clients, and the public; understand program objectives in relation to departmental goals and procedures; organize and prioritize work assignments; use and understand common database, spreadsheet and word processing applications; learn specialized computer applications. - The position must learn to interpret and apply well-defined administrative rules, regulations, and policies to determine how to take care of problems and issues on the spot. - Education and Experience: Graduation from high school or GED equivalent with specialized course work in general office practices such as typing, filing, and bookkeeping. Programs used include, Microsoft Word, Microsoft Publisher, Microsoft Excel, Quickbooks). - Health and Safety Responsibility: The safety and health responsibilities described herein are representative of those an employee will be responsible/accountable for while performing the essential functions of this job. Report any unsafe work practices immediately to supervisor. - Report any incidents, near misses, injuries, or illnesses to immediate supervisor. - Develop a personal concern for health and safety -- for yourself and for others, particularly new employee. - Read, understand, and comply with workplace health and safety policy, safe work practices and procedures. - Co-operate with health and safety committee members and representatives. - Should an injury occur during the course of the workday, report to your Supervisor and complete written Report of First Injury by the end of the work shift on the day injury occurs. Failure to complete and submit Report of First Injury that occurs during a work shift may result in progressive discipline being initiated.
