JOB DESCRIPTION: Administrative/Marketing Assistant, Missouri River Country (MRC)

Position Overview: The Executive Director/Marketing Assistant will support the current Executive Director/Marketing Personnel in managing and promoting Missouri River Country, the regional tourism office for the eight northeastern counties in Montana. This role involves a combination of administrative, managerial, and marketing duties aimed at promoting the region as a premier tourist destination. The position reports to the current Executive Director/Marketing Personnel and the Board of Directors.

Compensation and Work Hours:

  • Hourly Rate: $20 per hour
  • Work Week: 25 hours
  • Probationary Period: 90 days
  • Potential for full-time employment in the future

Primary Duties and Responsibilities:

Administrative and Office Management:

  1. Act as receptionist in the office: greet visitors, assist with inquiries, answer phone calls, and manage mail.
  2. Fulfill information requests via phone, mail, or in-person by distributing MRC marketing material.
  3. Maintain inventory of informational pieces and update supplies as needed.
  4. Keep track of information requests and furnish the Board with a monthly summary of inquiries.
  5. Distribute minutes of board and committee meetings; may be requested to record minutes.
  6. File all correspondence, minutes, and monthly reports.
  7. Notify board members of meetings and schedule changes.
  8. Attend various meetings and community activities beneficial to MRC.
  9. Maintain board membership records and accounts receivable.
  10. Maintain photo library and photo release files; take photos as needed.
  11. Compile and complete state-required compliance reports and submit by deadlines.
  12. Assist committees with coordination of reports and recommendations.
  13. Serve as a contact point for MRC members, directors, clients, advertising agencies, Destination MT, state, and federal agencies, as well as visitors.
  14. Educate on tourism and recreation, and coordinate public relations services to community organizations.
  15. Monitor all marketing projects for compliance with guidelines and accounting procedures.
  16. Be familiar with TAC regional marketing guidelines and assist in ensuring project compliance.
  17. Perform bookkeeping duties including maintaining the check register, bank reconciliation, and preparing checks for signature.
  18. Provide updated budget reports at monthly board meetings.
  19. Assist with publication projects, prepare bids for printing, and support committees in planning and evaluating these projects.
  20. Attend training for social media and internet marketing provided by Destination MT.
  21. Perform additional duties as requested by the Executive Committee or Board of Directors.

Marketing and Promotion:

  1. Market MRC as a tourist destination.
  2. Plan and host FAM/Press Trips for qualified journalists.
  3. Plan and attend Trade/Travel Shows.
  4. Prepare and present tourism marketing presentations.
  5. Prepare press releases and e-newsletters.
  6. Develop the Annual Marketing Plan and track project success and failures.
  7. Take photos and maintain a photo library.
  8. Make recommendations based on advertising inquiries and prior placements.
  9. Work with MRCs agency of record to create, approve, and provide photos and information for various media placements.
  10. Manage social media content, posting on Facebook, Instagram, and Twitter at least three times a week.
  11. Assist with website updates and collect event calendars for the website and print.
  12. Work with public relations and advertising agencies to meet current PR needs.
  13. Deliver/distribute printed brochures and engage with communities and chambers on marketing strategies.
  14. Assist with Co-op Marketing applications and discuss marketing options with businesses and communities.
  15. Provide updated regional information on marketing and events to the Of ice of Tourism.

Skills and Qualifications:

  • Basic computer skills, including proficiency in Word, Excel, and the Internet.
  • Knowledge of QuickBooks is a plus.
  • Strong organizational and multitasking abilities.
  • Excellent communication and public relations skills.
  • Reliable and dependable.
  • Experience in marketing, public relations, or a related field is preferred.
  • Marketing and office skills are a plus, but willing to train the right person.

Accountability: The Executive Director/Marketing Assistant is accountable to the current Executive Director/Marketing Personnel and the Board of Directors of MRC and does not have a vote on the board.

This combined role offers an opportunity to support the leadership and promotion of Missouri River Country while ensuring effective and efficient office management and marketing execution. The probationary period will allow both the employee and the Board to ensure a good fit for the position, with the potential for full-time employment in the future.
